If you created an Outlook backup file using a PC (.pst file), this simple process will help you import all your data.

Note: Unfortunately, Outlook 2016 for Windows does not support backups created using Outlook for Mac (.olm files), according to Microsoft, so you cannot import Outlook backups created on an Apple computer into the Windows software.

How to import an Outlook backup .pst file

1. Open your Outlook 2016 for Windows desktop app.
2. Click the File tab at the top-left of the screen.

3. Scroll down the blue vertical column along the left side of your display and choose Open & Export.

4. Click the Import/Export box, which is the third box from the top. It contains one blue arrow and one green arrow, pointing in opposite directions.

5. When you see the Import and Export Wizard pop-up box, select Import from another program or file.

6. Click Next.

7. Choose Outlook Data File (.pst).

8. Click Next.
9. Hit the Browse button and navigate to the location where your .pst Outlook data file is stored.

10. Select your backup file and click Open.

11. Next you see options that let you manage duplicate items, if you already saved Outlook backup archives in the past.

    • Replace duplicates with items imported overwrites any existing duplicate data with the new data
    • Allow duplicates to be created does not overwrite any existing data and imports new data, even if it's the same.

    • Do not import duplicates detects duplicate information and does not import any data that already exist.

12. Choose the option you want and hit Next.

13. Select the folder you want to import.

    • If you want to import all the contents of the .pst backup, select Outlook Data File.

    • If you only want to import a specific folder within the .pst file, click the arrow-shaped caret to the left of the word Outlook Data File to open a drop-down menu with a list of folders to choose from. (Note: You can only import one individual folder from the drop-down menu at a time.)

    • Use the Filter button below the vertical menu options to access advanced import filtering features. You could, for example, use the filter to import only messages include the words 'Windows Central.' Or you could choose to import only your unread messages

14. Ensure the Include subfolders box is checked, unless you do not want to import all subfolders within a selected folder.
15. Choose where you want to the new data to live, via the Import items into the current folder or Import items in the same folder in: options.
    • If you select the Import items in the same folder in: option, you must choose the Outlook account you want to import to from the drop-down menu below that option.
16. When you've selected all the settings you want and are ready to import, click Finish.
17. Go get a steaming cup of coffee (or a chilly beer), sit back and relax. The import process could take a while, depending on the size of your .pst backup file.

One of the questions we often hear is 'How does Exchange Online back up my data?' You may be asking this because you're concerned about how to recover your data if there is a failure. Alternatively, you may be wondering how to recover your data if it gets accidentally deleted. This topic answers these questions.

How does Exchange Online protect mailbox data?

Lots of things can disrupt service availability, such as hardware failure, natural disasters, or human error. To ensure that your data is always available and that services continue, even when unexpected events occur, Exchange Online uses the same technologies found in Exchange Server. For example, Exchange Online uses the Exchange Server feature known as Database Availability Groups (DAGs) to replicate Exchange Online mailboxes to multiple databases in separate Microsoft datacenters.

In addition to having multiple copies of each mailbox database, the different datacenters enforce the data using replication (data resiliency). If one fails, the affected data are transferred to another data center with limited service interruption, and users experience seamless connectivity.

What happens if users accidentally delete data from their mailboxes?

Deleted items are stored in the Deleted Items folder of the mailbox. Items removed from the Deleted Items folder or deleted by pressing Shift+Delete are most likely recoverable if they're dealt with promptly.

Point in time restoration of mailbox items is out of scope for the Exchange Online service, though there might be third-party solutions available that provide this functionality. Exchange Online offers great retention and recovery support for your organization's email infrastructure, and your mailbox data is available when you need it, no matter what happens. How do users backup Outlook data?

Exchange Online does not provide a way to perform a traditional backup of mailboxes. That is, there is no way to restore a mailbox to the state the mailbox was in when the backup was taken.

However, if you need to provide additional storage for user emails, the best way is to use Exchange Online Archiving. Using Outlook to backup data into PST files isn't recommended due to the loss of discoverability and control of the content.

After the expiration or removal of an O365 License, Office 365 doesn't instantly remove your data. The default Office 365 retention time is 30 days; this means that you can renew or backup your data into PST before the data is entirely removed from O365.
